WIP Studio ("we," "our," or "us"), developed by Keith C. Smith / Karmic Debt Comics, is committed to protecting your privacy. This Privacy Policy explains how information is collected, used, and disclosed when you use the WIP Studio mobile and web application (the "Service").
1. Information We Collect
We only collect and process information necessary to provide you with commission management, invoicing, project tracking, and client communication features.
Account & Profile Information: When you create an account, we may collect your name, artist handle, and email address.
Commission & Client Data: Information you input to track projects, including client names, client contact handles/emails, commission specs, pricing, deadlines, milestone stages, and notes.
Artwork & Attachments: Reference images, sketches, drafts, and completed artwork files uploaded to project threads.
Financial & Invoicing Records: Quoting details, invoice records, payment statuses, and deposit tiers you enter for tracking purposes. (Note: WIP Studio does not directly store full credit card numbers or banking passwords; external payment processors handle transaction processing securely).
Technical & Usage Data: Basic diagnostic, crash, and usage data required to maintain app performance, prevent errors, and ensure platform security.
2. How We Use Your Information
We use the information collected strictly for operational and functional purposes:
To operate, maintain, and provide core features (tracking active commissions, managing revision gates, sending deadline reminders, and generating client quotes/invoices).
To authenticate user access and prevent unauthorized use.
To send critical app notifications (such as upcoming deadline alerts or account alerts).
To diagnose technical glitches, bugs, and performance bottlenecks.
We do not sell, rent, or trade your personal data or artwork to third parties, data brokers, or advertisers. Your uploaded artwork and project details are never used to train generative AI models without your explicit consent.
3. Data Sharing and Third Parties
We only share information with third-party service providers to the extent necessary to deliver the Service:
Hosting & Backend Infrastructure: Cloud hosting and database services (e.g., Google Cloud / Firebase) that securely store your account records and project files under industry-standard encryption.
Legal Requirements: We may disclose information if required to do so by law, subpoena, or to protect the safety, rights, or property of our users or the public.
4. Data Security
We apply administrative, technical, and physical safeguards designed to protect your personal information against unauthorized access, loss, alteration, or disclosure. All data transmitted between your device and the Service is encrypted in transit using Secure Sockets Layer / Transport Layer Security (HTTPS/TLS).
5. Data Retention and Deletion
We retain your personal data and project records for as long as your account remains active or as needed to provide you with the Service.
Account & Data Deletion: You have the right to request deletion of your account and all associated data at any time. You may submit a data deletion request directly by emailing keith@karmicdebtcomics.com. Upon verification, your account, client records, and stored files will be permanently deleted from our primary databases within 30 days, except where retention is required by law.
6. Children's Privacy
WIP Studio is designed for professional and freelance artists and is not directed to individuals under the age of 13 (or under 16 in certain jurisdictions). We do not knowingly collect personal information from children. If we become aware that personal data from a child has been gathered without parental consent, we will take immediate steps to delete that information.
7. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our legal obligations or app features. Any revisions will be posted on this page with an updated "Last Updated" date. Continued use of WIP Studio following notice of changes constitutes acceptance of the revised policy.
